This is quick explanation of how Recurring Working Hours and Specific Working Hours help Timekit determine availability

If your resource isn't showing as available when you think they should be, the first thing you should check is what the resource has set under their Availability.

No Recurring Working Hours and no Specific Working Hours set

If there are no "Recurring working hours" set, then any spot that does not have an event booked will show as available for booking for the resource.

  • This means that if there is no event taking place on the Resource's calendar at 1am on a Friday, then it will show as available for booking.

Recurring Working Hours Only

If there is a standard Monday to Friday 9am - 5pm time set, then any hours outside of this range will not be available for booking.

  • Timekit will look at the Resource's calendar Monday to Friday 9am - 5pm and remove any slots that already have something booked on the Resource's calendar to display availability. For example, Saturdays and Sundays will not be checked.

Recurring Working Hours and Specific Working Hours Set

If there is a standard Monday to Friday 9am - 5pm set and "Specific working hours" are set to allow 9am - 5pm on Saturday July 10th 2021, then this is how the system checks availability.

  • Timekit will look at a Resource's schedule Monday to Friday 9am - 5pm, then Saturday July 10th 2021 9am - 5pm (Allow from 2021-07-03 09:00

    to 2021-07-03 17:00), and then remove any slots that already have something booked on the Resource's calendar during those times. As an example, Saturday July 17th will not be checked.

Specific Working Hours Only

If a resource does NOT have Recurring working hours set and is only using "Specific working hours" to set their availability (Allow availability (e.g. one-off)), then please be aware that Timekit will look at ONLY the "Specific working hours" set and anything that falls outside that range will not be checked for availability.

  • For example, if the resource has Specific working hours of Saturday July 10th 2021 9am-5pm set, then Timekit will ONLY look at July 10th, 2021 9am-5pm to determine availability. It will not check any other dates or times for availability. As an example, Friday July 9th 2021 will not be checked for availability.

If a resource does NOT have Recurring working hours set and is only using "Specific working hours" to blacklist their availability (Block availability (e.g. out of office)), then please be aware that Timekit will ONLY blacklist the "Specific working hours" set and everything else will be checked for availability.

  • For example, if the resource uses Specific working hours to blacklist Saturday July 10th 2021 9am-5pm set, then Timekit will ONLY block July 10th, 2021 9am-5pm and will check all other dates and times for availability.
